This article describes how tasks are backed up and restored in Dropsuite.

Description

The method for enabling backup and restore of tasks varies depending on the type of tenant. Click the links below for more information.

M365 Tasks

To enable task backup in M365, select the Task option when adding the M365 tenant in Dropsuite. For more information, review Managing M365 Backup and Sub-Product Selection.

Dropsuite can also back up and restore sub-task elements in M365. The table below lists the sub-task elements that Dropsuite supports.

Once you have successfully backed up a sub-task element, it becomes available for restoration or download.

Limitations:

  • The system captures sub-task data only for new backups. Existing task backups remain unaffected.
  • You can't click items displayed as attachments, categories, or task lists. These items will display in a read-only format.
  • Step restores may not display the steps in proper sequential order.

Enabling M365 sub-tasks backup

All new users who perform new task backups will have immediate access to sub-tasks. However, if you are an existing user who has previously backed up tasks, you will need to enable the sub-app permission first. This requirement is related to the M365 permission update we introduced previously.

If you've already completed the reauthorization, you will already have access to sub-tasks and can skip the reauthorization steps below.

If you have not reauthorized yet, A banner will display on the dashboard to inform you and guide you through the reauthorization process.

If you need to complete reauthorization, follow these steps:

  1. Log in to the end-user portal.
  2. From the dashboard,navigate to Account List → Task.
  3. Select Go to Credential Settings. The system will redirect you to the Account Settings page.
  4. Click Re-Authenticate.

  1. Dropsuite redirects you to the Microsoft landing page. Log in with your correct administrator account.
  2. On the Permissions requested pop-up, click Accept.

  1. If re-authentication is successful, an authentication success notification will appear on the Account Settings page, and the re-authenticate option will no longer be displayed.

Google Workspace Tasks

When you add a Google Workspace email account to Dropsuite, you can back up and restore tasks without any further setup required. For more information on adding a Google Workspace account to Dropsuite, review Google Workspace Backup and Archiving Guide.

Hosted Exchange Tasks

Hosted Exchange tasks work similarly to those in Google Workspace. Complete the Hosted Exchange backup form first. Once you've successfully added the  Hosted Exchange email account, the task backup capability will be automatically enabled.

How to Restore Tasks

  1. Log in to the end-user portal for your account and navigate to your dashboard.
  2. Open the Task tab.
    • To restore all task data, move your cursor over the user's name and click the restore icon. 
    • To restore a specific task, click the user's name in the list. On the task list page, select the tasks you want to restore, then click Restore.
  3. Select Yes, continue to start the restore.

You can check on the status of the restore or download from the System Status Restore page.

Restoring items to a different mailbox is currently not supported. You can download the data from the backup and then upload it to the other user's accounts.

How to Download Tasks

Log in to the end-user portal for your account and navigate to your dashboard.

  1. Open the Task tab.
    • To download all task data, move your cursor over the user's name and click the download icon.
    • To only download specific tasks, click the user's name in the list. On the task list page, select the tasks you want to download, then click Download.
  2. Select Yes, continue to start the download.

You can check on the status of the restore or download by navigating to System Status → Download.
