This article explains how to back up and restore Groups and Teams in NinjaOne SaaS Backup.

Environment

NinjaOne SaaS Backup

Description

Microsoft treats Microsoft 365 Groups and Microsoft Teams as two separate things. A Group provides the underlying membership and shared resources (mailbox, calendar, SharePoint site), and Teams adds a real-time collaboration layer on top of it. However, NinjaOne SaaS Backup treats Groups & Teams as a single unit because both share the same underlying data assets, and protecting one without the other would leave critical business data incomplete. NinjaOne SaaS Backup captures all associated components, including chat, files, sites, notes, calendars, tasks, and mailboxes, to ensure full data continuity. To learn how to restore and download Groups & Teams backups, review the following sections.

Restore

To perform a Group or Team restore, follow these steps:

  1. Log in to the end-user portal for your organization and navigate to the dashboard.
  2. Click the Groups & Teams tab and expand the site to reveal all the groups.
  3. Expand the Groups to view the different Teams items there.
  4. Move your cursor over the Group or Team in question and select the Restore option. If you only need a specific type of item restored, you can choose that item type instead and then select the individual items (or all items in that category) to restore.

If restoring chats, you cannot restore them to the same Group. If you have chats selected, you must first configure a new group. NinjaOne SaaS Backup will display the details of this Group on the next page. NinjaOne SaaS Backup will detect the new Group and back it up from the tenant. The assigned Group members will receive an email notification. You can adjust Group membership after the restore is complete if needed. You can also use the Edit Settings option to adjust the new group name, whether the Group is public or private, and the membership before restoring.

If restoring other items (excluding chats), you can restore them to the original Group or a new one. If you create a new group, NinjaOne SaaS Backup will back it up just like the original.

If restoring a mailbox, you will need to complete authentication first.

  1. Select your desired options and click Next.
  2. Click Yes in the confirmation dialog.

If you're restoring calendars, NinjaOne SaaS Backup will restore the Group schedules organized by a user to their personal calendar. This situation may result in the user receiving notifications from Microsoft stating that the calendar events have been created.

You can track the progress of the restore from the System Status Restores page.

Authentication for Restoring Groups & Teams Mailbox

Authentication is required every time you restore a Groups & Teams mailbox. To complete authentication, follow these steps:

  1. Click Authenticate on the restore dialog. NinjaOne SaaS Backup will redirect you to the M365 login window.
  2.  Enter the Global Admin email.

  1. Review the permission consent screen and click Accept.

Once it is successful, NinjaOne SaaS Backup returns you to the portal and displays a restore confirmation dialog. 

  1. Click Yes to begin your restore.

Known limitation

The restored results on the Microsoft 365 side will show the sender identity using the admin email address. Additionally, there will be extra information showing the Original Sender and Original Received Date

Download

To download Groups & Teams backup items, follow these steps.

  1. Log in to the end-user portal for your organization and navigate to the dashboard.
  2. Click the Groups & Teams tab and expand the site to reveal all the groups.
  3. Expand the groups to view the various Team item types.
  4. Select the specific item types that you want to download. You must select a document type to download chat and mailbox data.
    • You can download Team chats in .EML, .CSV, or .PDF format.
    • You can download mailbox data in .EML or .PST format.
  5. Click Next
  6. On the next screen, you will see the option to select:
    • Backup date: This option will download the data as of that date.
    • Backup Time: Because NinjaOne SaaS Backup runs three backups a day for Teams, you can select the version you want to download on the backup date.
  7. After you've selected your options, click Generate Download.
  8. Click Yes, Continue to start the download.
