This article explains why you may see a discrepancy in file size between the SharePoint admin center and NinjaOne SaaS Backup.

Environment

  • NinjaOne SaaS Backup
  • Microsoft SharePoint

Description

The size discrepancy between the SharePoint admin center and the NinjaOne SaaS Backup reports is due to versioning.

Explaining Size Differences

The key difference is how we calculate these numbers. In our approach, we only consider the latest version of files present in the most recent snapshot, which naturally results in a lower data volume. In contrast, Microsoft appears to aggregate the sizes of all versions of files, leading to larger reported volumes.

Additionally, the higher file count on our end is due to certain limitations. Sometimes, the delta tracking mechanism cannot identify deleted files or folders, so they continue to be counted in the latest snapshot. Moreover, not all sites contain a significant number of files in the system library, such as form templates, which can also affect the file count.

Also, if a retention policy is set and has taken effect on the data, there will be a size discrepancy.
