Description
The Backup Summary Report (BSR) displays the backup health and coverage across all users and workloads for the previous month. It helps partners confirm that their users' backups are running as expected and easily share service results, while enabling organizations to check coverage, identify issues, and meet compliance and cyber-insurance requirements.
There are two ways to access the report:
- Email notification: To receive the report automatically every fifth of the month, ensure that you activate the configuration on the portal.
- Portal download: You can also download the report directly from the portal at any time. NinjaOne SaaS Backup will automatically generate a new report on the fifth of each month.

Activating Backup Summary Reports
To activate your monthly reports, follow these steps:
- Log in to the NinjaOne SaaS Backup Partner Portal.
- Navigate to the Organizations menu.
- Select an organization and open the Organization Details page.
- Select the Reports tab.
- Activate the Email Delivery Settings toggle.
- Enter the email addresses you wish to receive the notification. You can enter a maximum of three email addresses.
Optionally, you can add an email address from an external domain that is outside your partner or organization. When you do so, NinjaOne SaaS Backup will display a warning dialog requesting consent and confirmation. Select I confirm this mailbox is secured and controlled by our organization, then click Agree to confirm and save your settings.
The warning dialog for external domains will appear as follows:
- Click Save Email Delivery Settings to apply your changes.
After activating Email Delivery Settings, you will receive an email on the fifth of the following month and every month afterward.
Download the Latest Backup Summary Report
Download a copy of your monthly report by following these steps:
- Log in to the NinjaOne SaaS Backup Partner Portal.
- Navigate to the Organizations menu.
- Select an organization and open the Organization Details page.
- Click the Reports tab. NinjaOne SaaS Backup will display the latest report in the Monthly Reports section.
- Click Download to download a PDF copy of the report.
Preview Report
You can open the preview report to view a sample of the detailed backup summary report that your organization will receive. The preview report contains dummy data that does not reflect your organization's actual data. To access the preview report, navigate to Organization details → Reports, and click Preview. The preview report will display dummy data for both the organization and the account level.
Understanding the Account-Level Report
The account-level report lists the backup status by account.
The information appearing in the account-level report includes:
- Partner name
- Organization name
- Total number of active and deactivated accounts backed up in this organization.
- Report queries, including date range, workload, details, and number of accounts
- Accounts (all email addresses that you're backing up for this organization)
- Last backup (in date and time format) recorded by NinjaOne SaaS Backup during the email sending period
- Total objects (the number of backed-up messages or files) in the last successful backup
- Total size of backed-up messages or files in the last successful backup.
- Workload Status: Icons representing Email, OneDrive, Contacts, Calendar, Tasks, and SharePoint. The report displays active and inactive states with solid or dotted lines.
- Daily backup summary providing a visual overview of the daily backup success.
Account-Level Backup Summary Legend
The Backup Summary column consists of color-coded bars representing the overall backup health of all active accounts in the organization. Each bar represents the daily backup state for each account. This visualization helps you quickly assess day-by-day backup performance.

Understanding the Organization-Level Report
The organization-level report provides a consolidated view of all workload backup activity across all accounts, as illustrated in the following image:
The information appearing in the organizational-level report includes:
- Partner name
- Organization name
- Total number of active and deactivated accounts backed up in the organization
- Report queries, including date range, workload, details, and number of accounts
- Workloads for Email, Drive, Contact, Calendar, and Tasks, and SharePoint; solid or dotted lines represent active and inactive states
- Last backup (in date and time format) recorded by NinjaOne SaaS Backup during the email sending period
- Total objects (the number of backed-up messages or files) in the last successful backup
- Total size of backed-up messages or files in the last successful backup
- The daily backup summary provides a visual overview of the daily backup success
Organization-Level Backup Summary Legend
The Backup Summary column consists of color-coded bars representing the overall backup health of all active accounts in the organization. The following table defines these colors.

Frequently-Asked Questions (FAQ)
The following information represents questions frequently asked by our partners and their answers, provided by our product teams.
When will I receive the first report after opting in?
You will receive the first report on the fifth of every month, covering the previous month's backup performance. For example, if a partner opts in during August, their first report will arrive on September 5 (covering the August report).
Will the organization's owner receive the report email?
No. NinjaOne SaaS Backup will only send emails to the email addresses registered by the partner in the Partner Portal.
Can I deactivate BSR email delivery after I have turned it on?
Yes, as long as you have access, you can deactivate the BSR email delivery setting at any time. However, you will no longer receive the BSR emails when the feature is deactivated.
Can I still download the report even if I opt out of email delivery?
Yes. In the UI, automatic email delivery and on-demand report downloads are separate features. You can still download reports from the Monthly Reports menu, even if you have not activated email delivery.
When will the system generate a report for download?
Every fifth of the month.
What is the maximum number of reports displayed on the list?
The dashboard displays up to 12 months of BSR data. You should download your reports before they expire, 12 months after they become available. NinjaOne SaaS Backup's BSR reporting begins in September 2025, so earlier reports will not be available for all accounts.

Why didn't I find this month's report on the list?
The system generates reports on the fifth of every month. If you haven't found the report yet, it's possible that the system hasn't generated it yet. You will need to wait until the next scheduled report date.
Who can access the Reports tab related to BSR configuration?
This view is accessible to resellers and sub-resellers (except for the finance role) with limited editing permissions.
Why do some days in the report display "Unhealthy" or "Deactivated" even though backups are currently running?
The report reflects backup performance on the specific day that the system runs the report. Unhealthy means the backups on that day did not complete successfully. Deactivated means the system detected that backups were turned off for that account or organization during that time.
