Description
The Storage usage card, displayed on both the NinjaOne SaaS Backup Partner Portal and the NinjaOne SaaS Backup End-User Portal, provides visibility into the total storage consumed across all organizations under your account. It reflects the cumulative backup data stored by NinjaOne SaaS Backup, presented as a single total, that you can categorize by organization. This information lets you understand current consumption at a glance and identify which organizations are consuming the most storage.
The storage usage figure on the dashboard shows the storage used by your active files at their latest versions, as of the current snapshot. It does not include deleted files or previous versions, which may consume additional backup storage.
For a deeper, organization-level breakdown, click Report Details to open a table listing each domain's data alongside the values used.
Click Export CSV to download the report details table as a CSV file. This file is useful for offline analysis, sharing with your team, or keeping a record of storage usage at a specific point in time.
Frequently-Asked Questions (FAQ)
Are there any limitations on the storage usage calculation?
Yes, the following limitations currently apply:
- Storage usage does not reflect storage consumption by NFR plans.
- Data is not real-time. NinjaOne SaaS Backup refreshes usage figures every 24 hours. Recent changes, such as newly completed backup jobs, deleted restore points, or updated retention policies, may not be immediately reflected.
- The storage usage calculation does not include all workloads. Storage usage includes the following workloads:
- Microsoft 365: Email, OneDrive, Contacts, Calendar, Tasks, and SharePoint.
- Google Workspace: Gmail, Drive, Contacts, Calendar, and Tasks.
- NinjaOne SaaS Backup includes other email services in the calculation.
I am a distributor. Does the storage usage number also include the organization's storage usage in the sub-partner?
Yes. As a distributor, the storage usage figure shown in your portal reflects the total aggregated consumption across all organizations, including those managed directly by you and those managed by your sub-partners. Distributors get full visibility across their entire managed hierarchy.
I have Teams and M365 Groups, but why aren't they showing up?
Teams, M365 Groups, Private Chats, and Entra are not yet included in the storage dashboard. Coverage will expand in future releases.
I already added a backup account, but my storage usage shows empty data. Why does this happen?
Empty data is expected immediately after the initial release, as storage figures may take up to 24 hours to sync for the first time. Empty data may also occur due to an ongoing issue on our end that we are actively working to resolve. Check back after 24 hours. If the issue persists, contact our support team.
Why does the storage used differ from the storage shown in Microsoft 365, Google Workspace, or another source platform?
Storage used may not exactly match the storage shown in your source platform, such as Microsoft 365 or Google Workspace. This expected behavior occurs because each platform may calculate and display storage differently.
Some common reasons for differences in storage calculation include:
- The same item may appear in more than one place. For example, an email may appear in multiple labels, folders, categories, or views. If another report adds storage from each location separately, the report may count the same email multiple times. Storage used will count the backed-up item once to avoid duplication.
- Deleted, retained, or recycle bin items may be handled differently. For example, a source platform may include items in Trash, Recycle Bin, or retained states in its storage dashboard, while Storage used calculates backed-up data available in NinjaOne SaaS Backup. This situation can cause the totals to differ.
- Source platforms may refresh data at different times. NinjaOne SaaS Backup bases storage used on the latest available data refresh, which occurs every 24 hours. Source platforms such as Microsoft 365 or Google Workspace may update their storage dashboards on a different schedule, so very recent changes may not appear in both places at the same time.
Because of these differences, Storage used should be used as a backup storage visibility metric and may not directly match the storage shown in source-platform dashboards.
