How Does the Restore Feature (Create Copy / Append / Overwrite / Skip) work?
Please use the below summary for a quick reference about the four restoration options:
- Create Copy (Default)
- Restore files as a duplicate of the existing ones.
- Append
- Restore files by adding a new version of the existing ones
- Overwrite
- Replace existing files with the Restored ones.
- Skip
- Skip restore for any files that already exist.
The four options in restore define how the restore process handles the conflict (Same File Name but different ID).
For example, if there is a file named "Project.txt" with ID "ABC," we must restore; while performing the restore, the system finds a file with the same name, "Project.txt," with a different ID "XYZ" in OneDrive on the M365 side.
- Create Copy (Default)
- If this option is selected, then the restore process will rename the file on the M365 side and restore it as a new file.
- Append
- If this option is selected, it will add a new version to the file with the same name.
- Overwrite
- If this option is selected, then the restore process will replace the existing file on the M365 side with the new file. All previous versions are removed, and the ID is changed.
- Skip
- If this option is selected, the file selected for restore won't get restored while conflict occurs.
If there is no conflict, then the restore process will work the same across all four options.
What is the Difference Between eDiscovery Search & Advanced Search?
eDiscovery Search has additional options for saving the search criteria, previewing search results, and modifying the saved search criteria. You can set up alerts, add tags, and mark results for the review process on the results of eDiscovery Search, whereas you cannot perform these functions with Advanced Search.
Advanced Search is a one-time search option that organizations can use to View / Download / Restore / Migrate.
How Can a Restore be Cancelled?
- Click the "System Status" tab in the End-User Portal
- Select "Restores"
- Navigate to the specific restore process and then click the "Cancel" button
Data that is already restored can't be reverted back, and it resides on the mail server. The restore process stops from the time of the cancellation.
Does the Backup Admin Require a Global Admin Role?
Yes, we require delegated permissions that can only be granted as a Global Admin, therefore a Global Admin role is required. Alternately, we can connect to an M365 environment using Service Principal Authentication, which does not require a backup admin at all.
What happens when Backup Admin is changed or its password is reset?
If the email address of the Backup Admin is changed, the system re-creates a new Backup Admin as it doesn’t find the existing one.
When the password is changed, the device’s refresh token gets revoked. This would lead to a credential error, which reauthentication can fix.
Can the Backup Admin be removed?
Archiver Product
If the Backup Admin is removed, the below issues will occur:
- Journaling issues (real-time email backup affected)
- Groups & Teams backup issues
- Public Folder Restore issues
Backup Only Product
If the Backup Admin is removed, the below issues will occur:
- Groups & Teams backup issues
- Public Folder Restore issues
Note that connecting to your M365 environment using Service Principal Authentication does not utilize a backup admin.
Are Backup Admin Credentials Stored and Handled Securely?
When we create a backup admin, we enable MFA, generate a strong password, and store the encrypted credentials in our database (as we need to show the credentials to the user during the initial setup). When the user first logs in using the credentials, they must set up MFA, and we will never use those credentials again. The user can even reset the password on their own. The backup admin credentials alone can’t be used by anyone without the MFA. Once the user authenticates our device and application, we will only use OAuth Access and Refresh Tokens for the authentication.
What Rules and Procedures are Applied to Ensure the Erasure of Data Securely After Contract Termination?
We use Amazon Web Services (AWS) S3, which has erasure coding policies built in. We also do not enable versioning on S3, so data erasure is secure.
Why is the “Login as Client” button missing for an NFR subscription?
As an NFR holds data of the reseller organization, the “Login as Client” button is provided only to the reseller account owner for security, and other user roles (Super Admin, Admin, Support, Finance) don’t see the button.
If desired, settings can be updated to allow for Super-Admin accounts to also have access to NFR accounts. Please reach out to Dropsuite Support for assistance if this is needed.
Why is the Error “No Data Available” Displayed on the Restore Page?
When the selected date range doesn’t have data in the backup, the error “no data available” is displayed. Please recheck the date range chosen. In the event you still are unable to see "no data available," please reach out to support@dropsuite.com.
Why does the backup show more emails when fewer emails are under the mail server?
The number of emails or data size under backup isn't the ideal way to compare, as the backed-up data is compressed. When emails are deleted from the mail server, they are not deleted in the backup.
What’s the difference between Delta Backup & Full Backup?
We request that Microsoft get the list of files modified through the delta link and then use it during the backup process. As we still see errors on the Delta link, we manually run a full backup now. We fetch all files under the OneDrive account at Microsoft through the full backup method and then process the backup. During this process, we will skip files with the latest version and back up only those with changes. We will notify you once this manual method of full backup is completed.
Why are Domain Backups (SP, G&T) not backed up?
Backup (SharePoint, Groups & Teams) of a particular domain can only be present in an organization, and it can't be present in 2 different organizations. The backup resides under the original organization, as that domain was first authenticated.
Why does the "Last Backup" field show an old date in Archiver Product?
When mailboxes don't have any recent messages (incoming or outgoing) through journaling, then the field "Last Backup" shows an old date. Please check and confirm whether the mailboxes have recent messages.
